- You should prepare a "Home File" for your tenants. the file should include instruction manuals for all appliances, heating controls, and any other relevant information about the property. In the event that you do not have instruction manuals, you should leave explicit written instructions for the tenant.
Emergency Contacts
- Will you be available during the period of the let? Any owner who will not be available during the period of the let must nominate an appointed person to make any decisions relating to the property in their absence. You should advise us in writing, at least 4 weeks prior to the start of the let, providing full contact details for the nominated person. The contact details of the nominated person should also be included in the "Home File".
Meet and Greet
- Either the owner of the property, or the nominated person, must be available to meet and greet the tenants at the beginning of the let, and also arrange the check-out inspection at the end of the tenancy. Where this is not possible, and only in exceptional circumstances, we will require a set of keys tobe deposited with us at least 5 days prior to the beginning of the let, for collection by the tenant. An administration charge of £50.00 will be levied for this service.
Inventory
- We highly recommend that you prepare an Inventory and Schedule of Condition to reflect the contents and condition of the property. This document should be agreed with the tenants on arrival, and should be used to verify the condition of the property during the check-out inspection at the end of the let.
Keys & Alarms
- One front door key must be provided for each bed let. Please clearly mark all keys and leave them in the kitchen of the property, along with your "Home File".
- Details of property alarms must be provided to us in writing, with maintenance contracts and a telephone point of contact. these details must also be included in the "Home File". We recommend that you change your alarm code for the duration of the let.
Safety Certification
- You must provide us with copies of Landlords Gas Safety Inspection, Electrical Safety Inspections, and proof of insurance at least six weeks in advance of the first day of the let.
Emergency Repairs
- In the event of an emergency, where it is not possible to contact either the Landlord or the nominated person, we reserve the right to carry out emergency repairs up to the value of the 20% of rental income retained for payment at the end of the let. In the event that we are required to carry out any repairs, a statement of expenses will be provided, along with any remaining balance, at the end of the let.
Telephones
- You should contact your telephone provider and ensure that outgoing calls are barred for the duration of the let. However, you should also make sure that Broadband internet services remain unaffected. We cannot be held responsible for the cost of any calls made during the let.
Preparing the Property
- All beds must be fitted with mattress and pillow protectors. Each bed should be made up with freshly laundered linen. A complete change of linen should be provided for each bed.
- One full set of towels (bath and hand) should be available for each person staying in the house during the let. A complete change of towels (bath and hand) must also be available for each person.
- The refrigerator must be emptied and spotlessly clean. Freezer space must be made available. Any items belonging to the landlord which are to remain in the freezer must be stored in a bin liner, and clearly labelled.
- Non perishable dired goods belonging to the Landlord may be left in kitchen cupboards, but stored separately, leaving a distinct space for provisions belonging to the Tenant.
- All kitchen appliances must be clean and fresh and ready for use.
Not Included in the Let?
- Any items of sentimental value must be removedfrom the premises or locked away.
- Any loft areas, rooms or garages retained by the owners must be clearly marked and locked.
